The University of Iowa Hospitals and Clinics, Child Health Specialty Clinics (CHSC), is seeking an 60-80% Administrative Services Coordinator. Position is specified term through June 30, 2025 with strong likelihood of renewal. This position is located in Iowa City.

Provides support for the Division of Child and Community Health, which is part of the Stead Family Department of Pediatrics and the Carver College of Medicine. Assists with the coordination of various programs and training activities, serves as initial point of contact for regional center staff across the state, initiates purchasing requests for supplies and equipment, and provides administrative support to the Division Director and Medical Director.

Position Responsibilities:

Oversee and support all administrative duties in the office and ensure that office is operating smoothly.

Provide administrative support to Division Director and Medical Director including maintaining calendars and scheduling meetings.

Perform receptionist duties: greet visitors, and answer and direct phone calls.

Provide other administrative support as necessary, including scheduling group meetings and maintaining calendars.

Assist with arrangements for on- and off-site meetings and trainings including venue rental, hotel reservations, and catering.

Manage office supplies inventory and place orders as necessary.

Process standard University of Iowa forms for payments and reimbursements including the use of Pro-Trav and E-Buy.

Assist with travel arrangements for Iowa City staff.

Receive and sort incoming mail and deliveries, and manage outgoing mail.

Ensure that office policies and procedures are implemented appropriately.

Maintain database of all computer inventory information and process requests for new equipment.

Serve as a back-up for patient registration and check-in processes using Epic.

Coordinate document translation as requested.

Engage in division-wide health equity initiatives that support DCCH Strategic Plan.

Required Qualifications:

Bachelor's degree or equivalent combination of education and experience is required

Previous experience working in an office and/or healthcare setting.

Valid driver's license plus the ability to meet and maintain the University of Iowa Fleet Safety standards.

Desired Qualifications:

Experience with EPIC, the University of Iowa Healthcare medical record system.

Experience working with University of Iowa policies and procedures.

Ability to process, maintain and manage data and information.

Demonstrated experience working effectively in a welcoming and respectful workplace environment.

Professional experience working effectively with individuals from a variety of backgrounds and perspectives.

Child Health Specialty Clinics is a community-based public health agency that serves children and youth, birth through 21, who live in Iowa and have or are at an increased risk for a chronic condition, and have a need for special services. Chronic conditions can include physical, developmental, behavioral and or emotional issues. Services are provided through family to family support, care coordination and clinical services.
