Under limited supervision, this position is responsible for the day to day operations and supportive role for the Risk Management Department.
Key Responsibilities:
- Perform general office duties such as answering phone calls, managing emails, and greeting visitors.
- Schedule and coordinate meetings, appointments, and conferences, ensuring proper preparation and organization. Take meeting minutes and create an agenda.
- Maintain and update files, records, and databases, ensuring accuracy and confidentiality.
- Assist with document preparation, including reports, presentations, and correspondence.
- Handle incoming and outgoing mail, packages, and deliveries.
- Monitor office supplies and inventory, placing orders as necessary to maintain stock levels.
- Manage the scheduling and processing of invoices, purchase orders, and other administrative transactions.
- Serve as a liaison between different departments, ensuring smooth communication and coordination.
- Assist with project management, data entry, and other specialized tasks as required by various teams.
- Ensure compliance with company policies and procedures, while maintaining confidentiality in all aspects of the role.
Requirements / Qualifications: Minimum Qualifications: At least one year of post high school coursework or experience in: administration, office management, accounting, finance, planning, policy analysis and implementation, administrative/management analysis, operations research, program evaluation, research, or similar fields or in a field related to the programs or functions of the employing agency.
Preferred Qualifications: Experience with Acrobat Pro and form creation. Experience with Microsoft Word, Excel, and Outlook. The ability to multi-task. Data entry experience is a plus.
Other: Must be 19 years of age.
Schedule and Wage:Monday - Friday, 8:00am - 5:00pm.
$18.811 per hour, plus $3.00 per hour facility differential.
Knowledge of: federal and State laws and regulations governing work assigned; office management and record keeping methods and practices; administrative report preparation practices; research and administrative survey techniques; work planning and organizing; business computer and communication systems.
Ability to:interact with immediate supervisor and senior managers, employees, and the public to gain their cooperation and to establish work relationships; formulate and recommend modifications to operational directives to attain agency goals; apply management practices, techniques, and methodologies to assigned activities; collect, assemble, and analyze facts and draw conclusions to recommend solutions to problems; identify and interpret program-administrative requirements, policies, and regulations to provide guidance and advice; organize and present facts and opinions to managers and groups; learn the structure, functions, goals, and policies of the employing agency.
