Job Description Summary
The Combined Degree and Physician Scholar Programs (CDPS) Office serves as home base for Penn's large and vibrant MD-PhD program (aka Medical Scientist Training Program or MSTP), one of the largest and mostly highly regarded programs of its kind in the country. In addition, we provide information and resources to prospective and current Perelman medical students who are interested in elective research opportunities and/or our MD/Master's Programs. The CDPS team is composed of four full time staff positions, led by a faculty member who is the Associate Dean. The Coordinator reports to the Director of Administration of the Combined Degree and Physician Scholar Programs, and is supervised on some tasks by the Associate Director for the MD-PhD Program.

The Coordinator role has varied responsibilities ranging from managing high level and more complex processes to more routine administrative tasks. The position requires extensive interaction with a large number of faculty, students and staff via email, zoom and in-person meetings.

Job Description

MD-PhD ADMISSIONS AND RECRUITMENT

  • Schedule individual MD-PhD zoom committee interviews for applicants, interacting directly with faculty members and their assistants. Manage interview process within AMP software. Follow up as needed to ensure all interview evaluations are submitted in a timely fashion. Ensure smooth interview day processes.
  • Help coordinate Penn Preview, the in-person revisit for admitted applicants. Schedule one-on-one meetings for applicants and faculty. Provide extensive logistical support for multiple group sessions.
  • Schedule meetings, analyze data, and provide add'l administrative support as needed.


EVENT PROGRAMMING
  • Working closely with student-led committee and faculty point person, help develop retreat agenda, and manage speaker selection process. Coordinate extensive logistical details of planning, and ensure smooth retreat day.
  • Coordinate logistics of event series programming (monthly event series, career sessions, guest speaker events, special events, class meetings), selecting dates, booking rooms, ordering catering. Staff in-person events.
  • Staff student social committee and support their efforts.


MD-PhD TRAINING REQUIREMENTS AND ENRICHMENT PROGRAMS SUPPORT / MSTP GRANT SUPPORT
  • Schedule Responsible Conduct of Research workshops and monitor training compliance.
  • Help administer Clinical Connections program. Contact potential faculty preceptors. Maintain data in SMS. Collect student and preceptor feedback.
  • Provide extensive additional administrative support related to MSTP T32 grant, Individual Development Plans (IDPs), mentorship compacts, permission and request forms, support for students to attend selected conferences, program advisor meeting tracking, etc.


RESEARCH PAPER PRIZE PROCESS ADMINISTRATION (for MD-PhD and MD students)
  • Publicize and promote Research Paper Prize contest, through e-mails and website. Collect manuscripts, distribute to committee, collect evaluations, analyze data.
  • With input of Committee Chair, form selection committees on an annual basis. Staff meetings and serve as a resource for committee members.
  • Manage additional steps of the process to communicate with recipients, process awards, notify additional staff, etc.


ADD'L ADMINISTRATIVE SUPPORT
  • Maintain MD-PhD program website. Review annually and update as needed.
  • Order supplies, and serve as office manager in various capacities.
  • Additional duties as requested.


QUALIFICATIONS / REQUIREMENTS
  • Bachelor's degree and 3 to 5 years of experience or equivalent combination of education and experience required.
  • One or more years of experience specifically in medical school and/or graduate school administration and admissions is preferred.
  • Some of the additional qualities highly preferred for this position include:
    • Strong service orientation and enthusiasm for supporting students, faculty and staff; highly collaborative spirit
    • Outstanding organizational and time management skills, with great attention to detail; ability to multi-task efficiently
    • Strong written and verbal communication skills
    • Excellent judgement, including ability to recognize when to problem-solve independently and when to seek additional input
    • Proficiency using Microsoft Office applications, web content software, and database reporting and aptitude for learning new skills and systems
  • Hybrid eligible. Position currently typically allows 2 days a week of remote work, and requires minimum of 3 days on site.
  • Availability to work occasional evenings.

Estimated starting salary for this position is $60,000-$68,000.
