Work closely with Human Resource leadership, CEO/executives, and other key stakeholders to ensure employees are informed, engaged and motivated by content that connects employees to the mission, vision and values. Responsible for writing, editing, and tracking content for strategic company projects and ongoing tactical initiatives. Use change management and communications best practices to create content that informs employees about the goals and objectives of initiatives in ways that advance strategic goals, culture and brand. Use content software to track and measures open/click rates and tailor follow-ups to drive engagement. Responsible for managing multiple timelines and communications deliverables across change management teams and project stakeholders. Use project management skills to manage multiple communication projects and ensure timelines and outcomes are met.

Essential Responsibilities:

  • Plan, write, review, and manage content for a variety of internal communications deliverables ensuring a professional, impactful end product. Connect employees to the mission and values and amplify diverse employee voices and activities in ways that advance strategic goals, culture and brand. Ensure messages are consistent across all mediums and for different departments and lines of business.
  • Develop strategic and innovative internal communication plans for multiple initiatives that clearly articulate objectives, strategies and tactics, and align with/promote PacificSource's vision. Coordinate the delivery of content across internal channels (including email, company meetings (i.e. slide decks, FAQs and talking points), company intranet (SharePoint), and monthly newsletters or weekly bulletins). Ensure deliverables are produced and achieved on time.
  • Proactively build trust and maintain strong, cross-functional relationships with key internal stakeholders, including executives.
  • Manage complex, fast-moving, and unexpected communications challenges, looking out for unseen risk.
  • Assist in gathering and reporting data, including analytics and employee feedback, on the effectiveness and impact of employee communications; use quantitative and qualitative data to identify new communications channels, content and tools that support employee needs and organizational goals.
  • Collaborate with subject matter experts and provide employee communications support across the organization. Review and edit communications drafted by internal stakeholders and make recommendations to develop clear, simple communications that align with PacificSource's brand style and desired customer experience. Keep stakeholders well-informed of progress and answer their questions. Brainstorm creative ideas and present them clearly to stakeholders.
  • Support and actively participate in the development of strategic communication plans based on executive, HR, and Learning and Development initiatives and annual workplans.
  • Actively solicit, organize, and plan content for ongoing employee communications in areas such as benefits, change management, learning, etc.
  • Maintain content of HR and Learning and Development departments' intranet sites, including reviewing and editing content to keep it current, uploading files, developing new pages, creating and fixing links.
  • Maintain content of external HR and Career page website, including reviewing and editing content to keep it current.
  • Partner closely with MarCom's Brand Manager to ensure consistency in style and tone. Partner with MarComm on projects as needed. Assist MarComm in management of external PacificSource sites that are utilized by the HR Department.
  • Conduct aspects of project manager, copywriter, copy editor, and designer roles. Responsible for planning and overseeing communication projects from initiation to distribution to ensure that they are completed in a timely fashion. Monitor project progress, and keep stakeholders informed.
  • Ghost write internal company-wide emails for department leaders, including executives. Ability to adjust writing tone by leader, department, audience, etc.

Supporting Responsibilities:
  • Build and maintain professional, service-oriented relationships with customers throughout the organization.
  • Build knowledge of company's benefits, compliance regulations, policies and procedures that relate to communications.
  • Meet department and company performance and attendance expectations.
  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  • Perform other duties as assigned.

SUCCESS PROFILE

Work Experience: Minimum of 4 years of writing, editing, proofreading, and graphic design (print and electronic) experience required. Experience in health insurance, digital media production, communication planning, and project management experience preferred.

Education, Certificates, Licenses: BS/BA or MA/MBA in journalism, English, marketing, or related field required.

Knowledge: Proficiency in Microsoft Word and PowerPoint, InDesign, Acrobat, Photoshop, and Illustrator and working knowledge of web design, marketing email, and survey software is required. Capable of cross functional collaboration, and able to work independently and take the initiative. Strong presentation and facilitation skills, equally comfortable presenting in-person and to remote audiences. Ability to adapt content for different audiences. Highly organized with ability to manage multiple projects concurrently, often to tight deadlines. Willingness to jump in on an array of projects as requested; eager to learn new skills. Flexible and adaptable, able to react quickly to changing requirements and new challenges.

Environment: Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately 1% of the time.

Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing.
