Fixed-Term One-Year Position (with possibility to renew based on budgetary and departmental need)

The Administrative Support Team at Stanford Law School is looking for a full-time Legal Project Coordinator to join our vibrant administrative, academic, and legal services team. As the leading organizational unit, we work collaboratively with many departments within the Law School and externally to achieve a broad range of programmatic and academic goals. This diverse team has extensive skills, experience, and knowledge essential for providing comprehensive support options.

This position offers operational and administrative support to the Stanford Three Strikes Project, a nationally recognized criminal legal reform and litigation initiative based at Stanford Law School. The Project advocates for prisoners serving life sentences for nonviolent offenses, supports their reintegration into society, and works on policy reforms at national, state, and local levels. The ideal candidate will work closely with a small team of attorneys to develop and manage strategic plans for programs that impact national public policy and criminal justice reform. This role reports to both the Deputy Director of the Justice Advocacy Project and the Associate Director of Administrative Support Services.

To excel in this role, you should possess strong research and presentation skills, be capable of independently managing research projects, and have a keen eye for detail. This position is well-suited for someone with excellent interpersonal skills who can effectively collaborate with various departments. You should be highly motivated, well-organized, and able to work autonomously while providing operational and administrative support for our criminal defense litigation, public policy, and prisoner reentry programs. Additionally, you must be comfortable engaging with incarcerated clients, government officials, community organizers, policy advisors, elected officials, and law enforcement officers.

Key Responsibilities

  • Maintain communication with Project clients via phone and written correspondence.

  • Address inquiries from clients, attorneys, and the community effectively.

  • Serve as a resource on specific policies and procedures.

  • Assist with litigation support in state and federal courts, including preparing legal pleadings, formatting documents per court rules, and handling litigation submissions.

  • Coordinate and manage conferences, seminars, and events, including vendor recommendations, material production, logistics, and liaison duties with vendors.

  • Oversee the electronic filing system.

  • Plan and manage calendars, resolve scheduling conflicts, and track court deadlines.

  • Process and monitor routine financial transactions, including resolving discrepancies.

  • Draft and produce routine communications, coordinate document production, and arrange travel in compliance with unit and university policies.

  • Manage and maintain office supplies and equipment, including obtaining vendor quotes as necessary.

  • Contribute to Project communications and administration, including maintaining approved website content and social media management.

  • Monitor project scope and report any concerns to the Director(s).

  • Compile data and generate reports and metrics related to the project.

  • Perform additional duties as assigned.
  • Education and Experience

  • High school diploma with three years of administrative experience, or a combination of education and relevant experience.

  • Bachelor's degree is preferred.
  • Knowledge, Skills, and Abilities

    • Proficiency with office software and email applications, including Word, PowerPoint, and Excel.
    • Demonstrated success in following through and completing routine tasks.
    • Strong organizational skills and attention to detail.
    • Strong verbal and written communication skills, including outstanding customer service skills.
    • Excellent customer service and interpersonal skills.
    • Ability to prioritize and multi-task
    • Proactive and able to take ownership of projects.
    • Valid Driver's License and willingness to occasionally drive long distances.
    • Willingness to learn computer-based research programs like Westlaw and Stanford systems, including Oracle.

    Preferred Skills

  • Experience in criminal legal reform, prisoner reentry, or post-conviction litigation.

  • Experience working with socio-economically disadvantaged individuals or those with mental health challenges.

  • Interest in advanced studies and academic research in related fields.

  • Prior experience in a law firm.

  • Experience with website management and social media.

    The expected pay range for this position is $31.79 to $37.96 per hour.
