Position Summary: We are looking for a proactive and detail-oriented Office Manager to join our team!! This role provides essential administrative and human resources support to ensure our office runs smoothly and efficiently. This is a small office, around 15 employees so you get to wear many hats! Key responsibilities include managing front-desk operations, coordinating events, maintaining a welcoming environment, and overseeing bookkeeping and scheduling duties.

Key Responsibilities:

  • Serve as the primary point of contact for client inquiries, delivering prompt and accurate information and support.
  • Greet visitors warmly and manage the reception area, directing visitors to the appropriate team members.
  • Schedule and organize client meetings, preparing necessary materials and tracking follow-up actions.
  • Assist the owner with bookkeeping tasks.
  • Maintain accurate and up-to-date client records, including contact details, service history, and relevant documentation.
  • Manage both digital and physical client files for the tax preparation process.
  • Support HR functions by planning company events, coordinating employee relations activities, tracking PTO, onboarding new staff, and managing documents.
  • Assist with marketing efforts by updating and maintaining mailing lists.
  • Manage relationships with vendors, suppliers, and contractors to ensure the office operates efficiently.
  • Order and maintain office supplies and equipment, ensuring the workspace is organized and well-stocked.
  • Track weekly service activities, maintaining a log of client interactions and actions taken.
  • Collect and document client feedback, suggestions, and complaints.
  • Provide troubleshooting support for clients with service-related issues and work with relevant departments to resolve concerns.
  • Oversee incoming and outgoing mail, including sorting, distributing, and handling packages and deliveries.
Qualifications:
  • Minimum of 3 years of administrative experience + proficiency in bookkeeping
  • Previous experience in the accounting or financial industry is strongly preferred
  • Proficiency in MS Office Suite
  • Experience with HR functions is a plus
  • Knowledge of Salesforce and/or QuickBooks Online is preferred
Additional Information:
  • Compensation: $55,000 to $70,000 annually
  • Schedule: Monday to Friday, 8:30 am - 5:00 pm
  • Location: On-site (Maple Grove)
  • Type: Direct Hire
