What you will do as an Office Specialist for the Medicaid OTT/TT Claims Processing Team:

Compute Overtime Claims: Accurately calculate and process overtime claims for HCBS (Home and Community-Based Services) providers, ensuring compliance with policies and regulations.

Manage Travel Time Claims: Review and process travel time claims, ensuring they are correctly calculated and documented.

Data Entry and Verification: Enter and verify overtime and travel time data into relevant systems, ensuring accuracy and timeliness.

Reconcile Claims: Reconcile discrepancies in overtime and travel time claims and resolve any issues or errors in a timely manner.

Maintain Documentation: Ensure that all overtime and travel time claims are properly documented and filed in compliance with applicable guidelines.

Monitor Claim Status: Track the status of ongoing overtime claims and assist in prioritizing work to address the current backlog.

Communicate with Providers: Serve as a point of contact for HCBS providers, addressing inquiries, clarifying requirements, and providing status updates on claims.

Support Team Efficiency: Collaborate with team members to ensure timely processing of claims and contribute to strategies for catching up on the backlog.

Process Adjustments and Corrections: Identify and process any necessary adjustments or corrections to overtime and travel time claims.
- Maintain confidentiality of all billing and provider-related information.
- Exhibit a sharp attention to detail and strong proofreading skills to ensure the accuracy of documents and reports.
- Maintain regular and predictable attendance.

Perform Other Duties: Assist with additional tasks and responsibilities related to overtime and travel time processing as assigned.
Requirements / Qualifications:Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
Preferred Qualifications: At least one year of customer service experience, experience with Enterprise One, NFOCUS, MMIS, OnBase, and Microsoft Excel.
Knowledge, Skills, and AbilitiesThe ideal candidate will have a strong understanding of secretarial and clerical support tasks, including recordkeeping, database management, and preparing reports. They will be familiar with customer service practices and the policies and procedures related to their work. Knowledge of specialized terminology and processes specific to their role is important, as well as proficiency in grammar, punctuation, spelling, and composition for business and specialized writing. The candidate should also be skilled in using word processing and data software for managing documents.
The candidate must be able to communicate clearly and professionally, both in writing and verbally. They will need to summarize technical data and research into easy-to-understand reports and proofread documents for accuracy. The ability to follow instructions, apply relevant policies, and carry out tasks effectively is essential. They should be able to take action based on decisions made by others to meet goals and priorities. The candidate must also be able to learn about the organization's structure, mission, and activities and apply policies and procedures to their work.
