Job Description:

The NDOT Highway Safety Section provides quality customer service for public requests for motor vehicle crash reports. This Office Technician position is responsible for providing crash reports to our customers in a courteous and supportive manner.

JOB DUTIES:

  • Answer multi-line phone: must be able to transfer calls throughout the office, take messages, or directly assist the public.
  • Greet walk-in customers who come to purchase crash reports or photographs as well as answer questions.
  • Receive and process daily mail, including requests for copies of crash reports, photo requests, file requests, and other section correspondence.
  • Assist customers with ordering crash reports online using NDOT's StoreFront website, verifying the customer's payment is approved, and emailing the report to the customer if not received (this process is currently not available but will be in the future).
  • Post all transaction data to ledgers. Enter all transactions onto a spreadsheet and mark when sold or returned.
  • Assist with the general public in filling out crash reports. Issue certified copies of crash reports.
  • Friendly and supportive customer service, both on the phone and in person.
  • Properly handle confidential information.
  • Act as a representative of the section, assisting other agencies and insurance companies in processing crash report data.
  • Research reports via computer, file, or on NDOT's Storefront website.
  • Keyword crash reports after being scanned into the Highway Safety Section's Crash Information Database.
  • Perform other duties as assigned.

Requirements/Qualifications:

Minimum Qualifications: Coursework/training or experience in public contact, customer service, and/or performing and applying office/clerical support procedures, including the use of a personal computer, associated software, and office equipment.

Preferred Qualifications:
  • General office and customer service experience.
  • Accounting experience.
  • Familiarity with NDOT's accounting system, accounts receivable, and deposits.

Other:
  • Must be able to work 8 AM to 5 PM.
  • Regular and reliable attendance is required.

KNOWLEDGE / SKILLS / ABILITIES:
  • Knowledge of bookkeeping and accounting systems.
  • Basic working knowledge of word processing.
  • Ability to plan and coordinate multiple activities; communicate effectively with customers and NDOT staff via phone, in writing, and in person; operate computer crash information system; work with customers in a friendly and hospitable manner.
