Operations Coordinator
Position Summary
The Operations Coordinator is responsible for managing the facilities and accounts payable. Responsibilities include back office operations, answering the main phone line, greeting visitors, coordinating office meetings and supporting the Director of Operations.
The ideal candidate will be detail oriented, able to handle multiple projects simultaneously and exhibit a friendly, professional, and customer service-oriented demeanor.
Essential Duties
•\tAssist with office management activities
•\tCoordinate purchasing & stocking office supplies and equipment
•\tOversee facilities management; work with building engineering and janitorial staff
•\tRegularly interact with clients, prospective clients and visiting executives
•\tProvide technical support including new hire computer set up, meeting presentations, and equipment trouble shooting
•\tAnswer telephones, handle & screen calls, and route to appropriate individuals, or take messages
•\tProcess and code invoices for payment
•\tSort and distribute incoming mail and deliveries
•\tMaintain postage machine, copiers, and fax machines
•\tEstablish and monitor facility standards (cleaning and other maintenance)
•\tAct as office contact for property management
•\tCoordinate meetings and/or special events, including set up, clean up and catering
•\tMaintain office files: Electronic and hard copy files
•\tPerforms other related duties as required or requested
Other Requirements & Administrative Duties
•\tBachelor's Degree (Business, Communications, or related field) or 2+ years of administrative support experience in a corporate environment
•\tCombination of education without a degree and corporate work experience will be considered
•\tProficiency with Microsoft Office Suite
•\tExcellent verbal and written communication skills
•\tProven ability to exercise discretion in dealing with confidential information and highly sensitive issues
•\tStrong interpersonal skills and problem-solving ability
•\tHistory of excellent internal and external customer service
•\tProven record of punctuality and good attendance
Physical Requirements
•\tInvolves work of a general office nature
•\tRegularly required to lift supply boxes; some could weigh up to 30 pounds
•\tExtensive walking throughout the office, stocking kitchen supplies and office supplies
•\tRegularly required to talk, hear, and use hands and fingers to write and type
•\tAbility to speak clearly so others can understand you
•\tAbility to read and understand information and ideas presented orally and in writing
•\tAbility to communicate information and ideas in writing and orally so others will understand
•\tRegularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays
